Check software compatibility: FAQs

The questions bookkeepers ask before switching check vendors.

What checks are compatible with QuickBooks?
QuickBooks compatible voucher, standard and wallet checks

QuickBooks prints three check styles, and a compatible check is simply one cut and printed to match the style you select: Voucher, which is one check on the top third of the sheet with two stubs below; Standard, which is three checks to a page with no stub; and Wallet, which is three narrower checks with a stub area at the left. Any of those, printed on the correct sheet size with the MICR line in the correct place, works with QuickBooks.

Compatible does not mean bought from Intuit. Check formats are standard dimensions, so a voucher check from any printer that follows the specification prints from QuickBooks exactly as one bought through the software does, and the bank processes them identically. What you should confirm is the style setting in the QuickBooks print setup matches the stock you loaded, and that the payee address block is enabled if you mail checks in window envelopes.

Our QuickBooks-compatible checks cover voucher, 3-per-page and wallet layouts from $12.99 per 250, printed on security paper with MICR magnetic toner and a free full-colour logo, shipped within our 24-48 hour turnaround. If you use a package other than QuickBooks, we hold formats for 766 software titles, so search yours rather than assuming a generic check will line up.

What is the difference between QuickBooks voucher checks and standard checks?
QuickBooks voucher checks next to standard three per page checks

A QuickBooks voucher check is one check per sheet with two stubs beneath it; a QuickBooks standard check is three checks per sheet with no stub. Voucher gives you 250 checks from 250 sheets and a remittance stub for the payee plus a file copy for you. Standard gives you 750 checks from 250 sheets and no stub at all. Both print from the same QuickBooks data - the difference is the style you pick in the print setup.

Use voucher stock when the payee needs to see what the payment covers: vendor payments against multiple invoices, subcontractor payments, and payroll, where the stub carries gross, deductions and net. Use standard when payments are simple and numerous - refunds, small reimbursements, routine bills - and your own records already hold the detail. Many businesses keep voucher stock for payables and payroll and standard stock for everything else.

The mistake to avoid is loading one and printing the other, which puts every field in the wrong band and wastes the sheet. Set the style in QuickBooks before the run, and print a test on plain paper held over a real check. Voucher, 3-per-page and wallet QuickBooks formats are all $12.99 per 250 here, with a free full-colour logo included.

How do I set up QuickBooks to print checks?
QuickBooks check printing setup on a laptop

In outline: open the check printing setup, tell QuickBooks which check style you are using - Voucher, Standard or Wallet - choose the printer and the feed type, run the alignment or sample print, then print the batch. The two settings that decide whether it works are the style and the print scaling: the style has to match the stock in the tray, and scaling has to be off, at 100 per cent or Actual Size.

Do the alignment step even if you think you do not need it. QuickBooks prints a sample you hold against a real check; small offsets are corrected there rather than by moving paper in the tray. Print samples on plain paper and hold them over a real check against a light so you are not spending stock. If you mail checks in window envelopes, enable the payee address block at this stage too, since the window shows only what the check prints.

Menu names and the exact path differ between QuickBooks Desktop and QuickBooks Online and change between releases, so follow your own version help for the current wording rather than a screenshot from an older year. Our QuickBooks-compatible voucher, standard and wallet checks are $12.99 per 250; call (800)-385-1363 if you are unsure which format your company file is set to print.

Do your checks work with QuickBooks Online as well as QuickBooks Desktop?
QuickBooks compatible checks for Online and Desktop

Yes. Both QuickBooks Online and QuickBooks Desktop print to the same physical check formats - voucher, standard three-per-page and wallet - so the same stock serves either. What differs is the software path: where the style is chosen, where the alignment tool lives, and how the print preview behaves. The paper does not know which version produced the data on it.

QuickBooks Online has its own print setup and fine-tune alignment step, and users most often run into trouble there through the browser print dialog rather than the software: a browser set to fit the page to the paper will shrink the whole check by a few per cent, which moves every field. Set the browser print dialog to 100 per cent scale and no headers or footers, then use the QuickBooks alignment step for any remaining offset.

Because both products change with releases, treat exact menu wording as version-specific and check your own help. What stays constant is the stock: order the format matching the style you print, from $12.99 per 250, on security paper with MICR magnetic toner and a free full-colour logo, shipped within our 24-48 hour turnaround.

Can I use voucher checks I already have with QuickBooks?
Check position comparison for accounting software formats

Usually yes, if the check body is in the position QuickBooks expects for the style you select. QuickBooks voucher printing places the check in the top third of the sheet. If your existing checks are a three-panel sheet with the check on the bottom, QuickBooks voucher style will print the check data onto a stub, and no amount of alignment nudging will fix a difference of several inches.

So identify what you have before you assume. Measure from the top edge of the sheet to the top edge of the check body: roughly zero is top or voucher position, roughly three and a half inches is middle, roughly seven inches is bottom. If it is top position, select Voucher in QuickBooks and run the alignment. If it is middle or bottom, the sheets were cut for a different package - Sage 50 is commonly middle position, and many payroll systems are bottom.

You have two options with mismatched stock: keep it for the software it was bought for, or replace it with the format your QuickBooks style prints. Do not modify sheets by trimming, because the MICR line has to sit at a specified distance from the bottom edge of the check. Our QuickBooks-format checks are $12.99 per 250; if you tell us what your old stock is, we can point at the matching format.

Which check format does Quicken use?
Quicken compatible computer checks in voucher and wallet formats

Quicken prints to the same three physical formats as other packages: a voucher check with stubs, a standard three-per-page check, and a wallet check. Which one you use is set in the Quicken check printing settings, and Quicken also distinguishes between page-oriented printers, which take a full sheet at a time, and continuous-feed printers, which is a legacy option most users no longer need.

Quicken users most often ask about wallet checks, because a large share of Quicken use is personal and small-business bill paying where no remittance stub is needed. If your Quicken setup is set to wallet, order wallet-format checks; if it is set to voucher, order voucher. Printing one on the other misplaces every field, and the fix is the format rather than the alignment.

Feature availability differs by Quicken edition and version, including whether a given edition prints checks at all, so confirm in your own copy rather than a general list. Our Quicken-compatible checks cover voucher, three-per-page and wallet layouts from $12.99 per 250, printed with MICR magnetic toner on security paper with a free full-colour logo.

Can every version of Quicken print checks?
Quicken compatible checks for printing or hand writing

Not necessarily, and this is worth checking before you buy stock. Check printing is a feature that varies by Quicken edition and platform: the fuller Windows editions have printed checks for years, while some entry-level editions and some Mac versions have differed in what they support, and the details have changed across releases. The reliable test is your own copy - look for a print checks command in the account register or the bills area.

If your edition does print checks, the setup is short: choose the check style, choose page-oriented printing for a normal laser or inkjet printer, run a test print, and adjust alignment if fields sit slightly off. As with any package, turn off any fit-to-page option, because scaling a check by even a few per cent moves every field and can shift the printed data into the wrong band.

If your edition does not print checks, you have not wasted your money on the checks: hand-write them from the same checkbook, or export the payments and print from another tool. Our Quicken-compatible formats - voucher, three-per-page and wallet - are $12.99 per 250 and are ordinary MICR-encoded business checks that work whether they are printed or written.

Which check format do Sage 50 and Peachtree use?
Sage 50 compatible middle position business checks

Sage 50, the product formerly sold as Peachtree, is commonly a middle-position form: the check body sits in the centre band of the sheet with a stub above and below it. That is the single most useful thing to know when ordering, because a business moving from QuickBooks to Sage 50 often reorders the top-position voucher checks it has always used and finds every field printing onto a stub.

Sage 50 also has more than one check form - accounts payable checks and payroll checks are laid out differently, since payroll needs space for earnings and deductions - so match the form to the run you print. The safest method is to take a current check, measure from the top of the sheet to the top of the check body, and order the position that matches, rather than relying on a product name from an old invoice.

Sage form definitions can be customised inside Sage, and the defaults have shifted across versions, so verify what your installation is set to print before ordering a box. We hold Sage 50, Sage 100 and Sage 300 formats from $12.99 per 250 with MICR magnetic toner on security paper. If you are not certain which one you need, call (800)-385-1363 and describe the check you are holding.

Do Sage 100 and Sage 300 use different checks from Sage 50?
Sage 100 and Sage 300 compatible check formats

Yes, they are different products with their own form layouts, and a check cut for Sage 50 is not automatically right for Sage 100 or Sage 300. Sage 50 is the small-business product formerly called Peachtree; Sage 100 was MAS 90 and MAS 200; Sage 300 was Accpac. They came from different lineages, so their accounts payable check forms differ in where the check body sits and where the amount, payee and stub columns fall.

Because of that, order by the exact product and module rather than by the word Sage. We hold distinct formats for Sage 50, Sage 100 and Sage 300, and it is worth naming the version and whether the run is accounts payable or payroll when you order. Sage installations are also frequently customised - forms get edited in-house over the years - so a printed sample of what you use now is the best specification you can give us.

If you have a current check to hand, measure from the top edge of the sheet to the top edge of the check body and note the stub arrangement; that tells us the position immediately. Sage formats are $12.99 per 250 with a free full-colour logo, printed on security paper with MICR magnetic toner, and we can also supply blank stock at $11.79 per 250 if your Sage setup prints the MICR line itself.

What if my accounting software is not QuickBooks, Quicken or Sage?
Accounting software check formats for many packages

Then search for it by name, because we hold check formats for 766 software titles, not only the three best-known ones. Property management, payroll, medical, church, nonprofit, construction and ERP packages all print to their own form layouts, and most of them are in the list. Searching your software name is faster and safer than picking a generic check and hoping the fields line up.

If your package is not in the list, the layout is almost certainly still one of the standard positions, because software vendors design around the same stock everybody else uses. Find out from your software help which position it prints - top or voucher, middle, bottom, three-per-page or wallet - and order that. Where the documentation is silent, a printed sample from a previous supplier answers the question by measurement.

One route always works when the format is genuinely unusual: blank check stock at $11.79 per 250, where your software prints the whole check including the MICR line, so the layout is whatever the software draws. That needs check-writing software with MICR support and a printer with MICR toner. Pre-printed formats start at $12.99 per 250, and you can call (800)-385-1363 to have somebody look up your package.

Will my bank accept checks that were not printed by my bank?
Business checks printed to bank specification with MICR encoding

Yes. You are free to buy checks from any printer, and banks process checks from outside printers every day. A check is honoured on the strength of the account, the signature and the MICR line at the bottom - the routing number, account number and check number printed in magnetic toner in the E-13B font at a specified position. A check carrying those correctly is read by the bank's sorters the same way a check from the bank's own supplier is.

The realistic caveats are worth stating plainly. Individual banks set their own MICR requirements for their accounts, a few ask to see a sample before accepting checks from a new source, and some will charge a fee for items their equipment cannot read on the first pass. So if your bank has issued a MICR specification sheet, send it with your order and we will print to it, and if you are unsure, take one of the new checks into the branch before you use the whole box.

What has never been true is that a bank can require you to buy its checks. If a branch tells you otherwise, ask for the requirement in writing - it is usually a sales preference rather than a policy. Our checks are printed on security paper with MICR magnetic toner, from $12.99 per 250 for computer checks and $29.69 per 250 for manual books, with a 100 per cent satisfaction guarantee.

Is it safe to order checks online?
Secure online check ordering

It is, provided you order from a printer that treats your bank details as bank details. The information a check order needs - routing number, account number, business name and address - is the same information printed on every check you already hand out, so the risk is not in the data existing; it is in how it is transmitted, who can see it inside the company, and how long it is kept afterwards.

What to look for, here or anywhere: an encrypted checkout so the details are not sent in the clear, a business that prints in-house rather than passing your order down a chain of subcontractors, restricted internal access, and a stated position on retention. Ask questions before you order rather than after. A printer that cannot answer where your account number is stored is telling you something useful.

Practical habits matter on your side too. Order from your own device rather than a shared computer, never send bank details over ordinary email or a messaging app, and when the checks arrive, count them and confirm the numbers run in sequence from where your last box ended. Store the box locked. If anything in an order looks wrong when it arrives, call (800)-385-1363 rather than using the checks and sorting it out later.

What information do you need to print my checks?
Check with business name, bank details and free colour logo

Four things: the business name and address to print at the top of the check, the bank name and the branch city, the nine-digit routing number, and the account number. Add the starting check number you want, taken from the next unused check in your current book, so the new order continues your sequence instead of repeating numbers you have already issued.

The easiest and most accurate source for all of it is a check you already have for the same account. Read the routing and account numbers from the MICR line at the bottom rather than from a statement or an online banking screen, because banking screens sometimes display the numbers in a different arrangement or add a prefix that does not belong on a check. If you are opening a new account, ask the bank in writing for the numbers to be printed.

Two optional extras: your logo, which is included free in full colour, and any custom wording such as a second signature line or a memo heading. If your bank has given you a MICR specification sheet, send that too and we will follow it exactly. Orders are produced within our 24-48 hour turnaround, and if any of the details look inconsistent we will query it before printing rather than after.
